Confirm the full address
Include the company name, street address, floor, suite, and the entrance deliveries actually use. Some buildings have more doors than opinions about lunch.
Ask security before the order
Find out whether couriers need identification, a certificate, a service entrance, or an escort. Note freight-elevator hours if trays or larger drop-offs are involved.
Name the on-site person
Give one reachable contact ownership of the handoff. A team chat cannot answer a lobby call.
Test the route before lunch day
Walk from the public entrance to the meeting room and note every handoff: security desk, elevator bank, floor access, reception, and final table. The route reveals details an address field cannot.
Write notes for a stranger
Use the building name, correct entrance, floor, suite, contact number, and any identification rule. Avoid internal shorthand. A courier should be able to follow the instructions without knowing that “the usual lobby” means the entrance around the corner.
